NOM - Nominal Ledger Account Maintenance
What is
NOM is the Nominal/ General ledger maintenance program.
All Nominal/ General Ledger account creation, amendment and renumbering is actioned in NOM.
The Nominal/ General Ledger holds accounts that are permanent in nature (e.g. assets, realised P+L, control accounts). Other, more volatile accounts (e.g. clients, unrealised P+L) are maintained in other ITAS ledgers (CLI = Client Ledger and W.I.P. = Work-in-Progress). Nevertheless, customisation during set-up of ITAS allows for all accounts to be held in NOM if desired.
It is irrelevant in the maintenance of NOM ledger accounts whether the Operating Company is applying standard ITAS multi-currency accounting, IAS21/FRS23 rules accounting or any other variation. The accounts are created according to how much detail the PLR, BAL reports need. In some situations, the ITAS accounting is setup to interface with another accounting/finance package e.g. SAP, JD Edwards, Great Plains and the importance of the maintained 'Alternative Code' is a primary significant piece of data. Other interface data elements are maintained here but may only be used by procedures as IGI e.g. Account Type Code. The 'Alternative Code' can be maintained as free format OR a support table can be built to validate the entry. That process is a right-click feature before activating any other NOM process.
NOM maintains balance sheet (B/S) accounts and profit and loss (P+L) accounts. Control accounts need to be setup to link the ancillary ledgers to the NOM, these accounts must be nominated as B/S accounts. A feature of NOM is the ability to map the accounts to a different structure/presentation. This is useful for either group consolidations, management reports that use posted details or producing a local regulatory trial balance (BAL) NOM maintenance includes:
-amending B/S or P+L account's contents, with special consideration to indicating type of account .e. bank, asset, employee
-structuring the Nominal/ General Ledger hierarchy
-maintain budget details per account/fiscal year/months or optional feature for Departmental Budgets
-renumber an account
Printing of lists and budgets can be achieved from NOM, use mouse right-click before editing the grids.
More sophisticated printing for budgets is handled by a report style in BUDGET
How to use NOM
Once you have opened the NOM window, you must select a range of valid Account Numbers to be maintained. You can use the default Account Numbers (0000 to 9999) to view the complete Ledger.
The most important aspect of the NOM ledger is its structure, based on the sequential ordering of accounts. This order is user-defined according to the company presentation requirements. To maintain the structure throughout the ledger, the most important aspect of the ledger to be understood and used correctly is the Account Number itself.
There are a number of maintenance columns the ‘Detail Account Name’ which need some understanding:-
a) Priv. Privilege level (0-9) which ZERO is the most secure level and 9 is the least secure. The assignment of a Priv level to an account can restrict access by individual users to viewing data in that account, if the User has access rights to the company with their CMP privilege level higher than the accounts’ E.g. Bank a/c 1234.5678 is assigned Priv = 3 and the user is CMP priv = 4 then the user can NOT view data in 1234.5678
b) Acc Type. There are 2 denominations Balance Sheet (L/R) or P&L (P). The L/R is used to present the BAL with left or right side offset; logically sub totaling would be Right side.
c) Emp Tick this account if it is required to enter Personnel Initials (CMP defined profiles) in DOCENT when posting to the account. E.g. account represents Overheads/Entertaining so need to further identify the person involved
d) Fixed. Tick if account is a Fixed Asset type and want to maintain the ASSET ledger automatically from entry of a non-TRADE Purchase invoice in DOCENT. This tick will trigger further questions when posting to the account. Operates in conjunction with Depr column.
e) Bank. Tick if account is a CASH oriented account i.e. needed in many ITAS processes to identify cash e.g. CASHUG, CASH, BORROWING
f) Status. Tick indicates that account is FROZEN for further activity in posting/usage. Tick and Un-tick are activated by right-click feature in NOM grid when in edit mode.
g) Dept. Optional for linking the account in CCYEXP (alternative style to transaction analysis), will need Hivedome advice.
h) Earn. Tick if account is be included in Commission Earnings report (T49), very specific for Brokerage/Fund business.
i) Group. Tick if a group account, therefore excluded from consolidated BAL/PLR
j) Inter Co. Tick to indicate account is inter-company, used by JDE export process and BALCONS and selective Consolidation procedures
k) Depr. Only applicable on a Fixed Asset account when number of months that ASSET are depreciated can be entered. Only used in ASSET report.
l) Alternative Code. A translation to another system e.g. JDE/SAP, if a suitable interface has been built. Max 30 characters free-format OR support table content.
m) Main Account name (Alternative language), max 150 characters. The foreign language is defined in S01/Misc .
n) Detail Account name (Alternative language), max 150 characters. The foreign language is defined in S01/Misc .
o) REVALX. If the company is operating single currency, tick to indicate that the account is to be included in REVALX. This status is also used by MATN for creation of Valuation journals or not.
p) Inc CCYEXP. Tick for the account to be included in CCYEXP enquiry e.g. Fixed Assets
