Alternative Nominal Ledgers
Layout
When creating an alternative report style the following information is required:
Report Name
This name will appear in BAL & PLR as an alternative report style.
When creating a new report, need to specify whether this style is to used only in
BAL (balance sheet) or
PLR (Profit&Loss Report)
Each line on the grid will be a line on the report. The line may contain entries in any column or may be completely blank.
Description
The text to appear on the report
Bold
When ticked the description will print bold.
Bolddata
When ticked the amount will be printed in bold
Indent (Balance sheet only)
When ticked the description will print indented.
U/L
When ticked the amount will print underlined.
Double U/L
When ticked the amount will print with a line above and below.
Right (Balance sheet only)
When ticked the amount will print in an offset column on the right; used to highlight totals or to separate expected debits and credits
Double Right (Balance sheet only)
When ticked the amount will print in a second offset column on the right hand side; used to highlight total totals
Code
1-3 character code free-format code to be used in the data column of subsequent lines to include the amount of this line in a formula. The code must start with an alphabetic character
Data
The Data column may contain:
· Title account numbers e.g 1100, 1105
· Title accounts with EXPense code qualifier(s) e.g 1100*SALARY*BONUS, 1200, 1300*NICS whereby only transactions with those expense codes will be processd for the combination of account/EXP selected. Note to apply wildcard search for an EXP code, add ‘%’ symbol
· Title accounts with EXPense code qualifier(s) e.g 1100^ SALARY, 1400^PAYE whereby ALL transactions except those with the mentioned expense codes will be processd for the combination of account/EXP selected. The symbol being used for exclusion is the ‘^’ i.e. shift 6. Note to apply wildcard search for an EXP code, add ‘%’ symbol.
· Title account ranges with EXP code qualifiers(s) e.g. 1100-1200*SALARY*BONUS. Note to apply wildcard search for an EXP code, add ‘%’ symbol
· Title accounts with DEPT qualifiers(s) e.g. 1100@GEN, 1100-1200@ABC. Note to apply wildcard search for a DEPT code, add ‘%’ symbol
· Title accounts with DEPT x EXCEPTION qualifiers(s) e.g. 1100#GEN. This rule operates whereby transactions with DEPT=GEN will be excluded from search/inclusion. Note to apply wildcard search for an DEPT code, add ‘%’ symbol
· Detail account numbers e.g 1100.0002, 1100.0003, 1500.0002
· Detail accounts with EXPense code qualifier(s) e.g 1100.0002*SALARY*BONUS whereby only transactions with those expense codes will be processd for the combination of account/EXP selected. Note to apply wildcard search for an EXP code, add ‘%’ symbol
· Detail accounts with EXPense code qualifier(s) e.g 1100.0002^ SALARY^BONUS whereby ALL transactions except those with the mentioned expense codes will be processd for the combination of account/EXP selected. · Formulae e.g. A1+B03. Important, can ONLY use prior row totals i.e. they have been collected chronologically. The European style of showing a total line before the components will NOT operate successfully.

Rules appear in the data column and must start with a dot.
.P&L this year’s P&L
.UPL Last years unaudited P&L, will only be reported when last year still open.
.WIP WIP control balance by Department, reviews all transactions by their dept code irrespective of WIP account status so very important that when WIP accounts are archived that they balance down to zero value for each dept involved.
.P&L*EXPENSE this year’s P&L accounts but only build a balance from the explicit EXPENSE code transactions e.g. .P&L*FUMIG would process all P&L accounts where the expense code on the transaction = ‘FUMIG’.
.NETCRED Net CLI creditors, include .T accounts and exclude GROUP classified accounts.
.NETDEBT Net CLI debtors, include .T accounts and exclude GROUP classified accounts.
.CTNETCRED Net CLI creditors, exclude .T accounts and exclude GROUP classified accounts.
.CTNETDEBT Net CLI debtors, exclude .T accounts and exclude GROUP classified accounts.
.GRPCLI List individual GROUP classified CLI accounts
.GRPCLICRED List individual GROUP classified CLI accounts< which are net creditors

To create a completely new Report style
Launch NOM (Nominal Ledger Account Maintenance)
Click Alternate Ledgers button
Enter the name of the report and whether it is Balance Sheet or P&L (To recall an existing layout type in the report name or use Ctrl/F) and click OK.
Then type the lines exactly as they are to appear on the report.
Headings, data, totals, blank lines and all.
To create a new style using existing style
Launch NOM (Nominal Ledger Account Maintenance)
Click Alternate Ledgers button
Enter the name of the existing report, mouse right-click and use copy feature, and enter new style name.
When copy is complete modify style accordingly.
To copy existing company Report style to a different company
Launch NOM (Nominal Ledger Account Maintenance)
Click Alternate Ledgers button
Enter the name of the existing report, mouse right-click and use ‘copy to other companies’ feature. You will specify which companies for the export.
