TRUCKIN/OUT - Trucks In/Out Factory




TRUCKIN

This is a process that compliments the PROSCHED and PROMAN warehouse management and production systems. It is used by companies operating at Origin where ex-field raw materials are delivered to a terminal/factory/mill throughout the day. TRUCKIN is an alternative to the intake procedures of having a purchase contract negotiated (TRADE), creating a call-off (EXED) and then action the intake.   TRUCKIN does however handle both Cash(Spot) and TRADE recording.

The process starts when the truck arrives at the terminal gates. A TRUCKIN record (fact05) is created and the logistics data (truck, driver etc) are secured. The full weight of the truck is also recorded, if a Weighbridge is in operation. The goods on the truck are then unloaded and counted. The goods may be representative of existing TRADE in which case those contracts or contract splits are recorded on the Truck or can be associated with a Cash(Spot) contract in which case all those details are entered, or a combination of both.
The goods are weighed and some analysis is done to gauge quality. There is a link to the SAMPLES program where the results of the analysis are entered and specialist Formula Pricing process can calculate a price premium/discount based on quality etc. A yield factor can also be calculated/applied onto the entry records.

When the truck leaves the terminal the empty weight may be recorded to note any significant differences between the weight unloaded and the weight entered as received.

When all these procedures are complete the delivery is marked as complete, which applies the database updates:
i) Apply the new price, value and yield to the TRADE contracts
ii) Create the Inventory records ((8) contracts or fact06) and mark the inturn (P) contracts as tolled out
iii) Create spot contracts and toll to (8) contracts if there was any Cash(Spot) contracts involved
iv) Optional, Create the purchase invoice if requested on the TRUCKIN record.
v)  Optional, Create the accounting journal (IT) to move the goods quantity and value from the Purchase WIP to the Raw materials WIP of the 8 contract
vi) The Truck record is marked as complete so may not be edited but the completed Delivery can be reversed

The record of the trucks delivery-in is retained for subsequent reporting. The goods are now available in the terminal as Inventory for processing etc. using standard PROSCHED/PROMAN  procedures.

Forms are also available to produce any paper work, including invoice details if the driver is to be paid on delivery at the accounts office.


TRUCKOUT

TRUCKOUT is the sister program of TRUCKIN and records goods leaving the terminal, whether going to port or to another terminal (internal transfer)


Tech Notes: 
1) fact05 table for majority of the logistically data.
2) fact05 data can be edited through out the TRUCKIN process until Delivery Completion, so details can be added. Before the Delivery completion, the TRUCKIN record can be deleted.; The Reverse Delivery Completion process will delete a Cash/Spot record, if used and/or merge the P x TRADE recordto its parent TRADE record.
3) TRUCKIN used in the PROSCHED operation uses WIP ledger, and all TRADE elements.
