FRATES - Freight (Container) Rates

This procedure is a set of procedures for the maintenance of Container Freight, Container Hire rates and Inland haulage rates.  Quotations are received from the Shipping/Haulage companies, with their validity dates and breakdown of component costs and this procedure allows the user to maintain all current, future and historical rates
The Freight cost codes used are the PHYSCODES/Cost types marked as Freight type, e.g. BASE, BAF, CAF or a generic CFRT where the Entity does not maintain individual cost elements that comprise the full value.
The sequence coding has 2 functions, sequence = 1 indicates that the record is the primary Cost type e.g. BASE which is important in the Maintenance of a new quotation. The sequence numbers are used to order the secondary window on New quotation entry.  The ‘How-to-use’ box (entry=P) is used to indicate that a rate being maintained for this cost type is a percentage applied on the BASE Amount, when performing the freight calculator task.
There are three processes

Maintain Freight Rates

There are 3 different Views on how to maintain these rates,
a)      as a new quotation,
b)      as full maintenance i.e. the grid will be filled with whatever filtered data has been selected with no intelligence applied as regards current validity etc
c)      as maintenance with quotation style filtering i.e. will apply some intelligence to achieve a grid full of data that reflects the logical boundaries wanted
The new quotation view/style requires mandatory entry of Shipping Line, Departure and Destination locations, container type and at least one valid from/valid to dates. This view is to enable the user to enter the BASE rates and view any existing associated/relevant costs types in a secondary window.  When entering a BASE rate, the user can specify any other Cost types that are included in the BASE rate by pressing Ctrl f while in the last column of the grid ‘Costs Inc’. When that information is known the secondary window will refresh, thereby there will be no need for duplicated search/maintenance for those Cost types. There are row replication and remove features and the full descriptions of the Departure and Destinations locations can be viewed when the cursor hovers over a code.  If the quotation needs other Cost types to be entered, use right-click Repeat  Row and change the Cost Type, rate etc. The Repeat Row feature allows for quick entry of multiple quotations e.g. different Destinations, container type. When a different Container type is entered on the primary grid, the secondary grid will refresh with it’s additional Cost types.   There is a right-click feature that will show the calculated full rate for the quotation that is being shown on the 2 grids.
The full maintenance view/style allows for any filtering and the grid fill will complete with all items that fit the search criteria i.e. this is complete free-form maintenance.
The quotation maintenance view/style allows for any filtering but the grid fill will only show Cost items that satisfy the quote search criteria.  This style of search is very dependant on what entries have been made in the selections such that BASE rates found will attempt to locate relevant associated costs.
Overweight Surcharge rates can also be maintained. The code is nominated via PHYSCODES/Cost Types and whenever this is detected within a new/existing rate, the user may drill-down to a rate table by pressing ctrl-I when the Rate cell is highlighted. This action will present a further grid in which a set of weights and associated rates can be maintained. The weight represents the tonnage from which the rate should be applied on a per container basis, i.e. 14 would indicate that if the container weight exceeded this amount the associated surcharge would be applied. The rate can be a fixed amount or a percentage of the BASE rate. When all entries are entered click Close (or Discard to reset). Any new rates will not be stored until the Save button is clicked on the main screen.

Maintain Container hire rates

These rates are usually only an amount for the hire of a Container for a specific time period but some negotiations will include the ocean freight amount and the inland haulage cost. These conditions are highlighted by application of a tick in freight Inclusive column. Inland haulage is included when the ultimate destination is setup as a Town and not a Port (PHYSCODES/Ports definition).
The maintenance process is a simple pre-selection and then maintain the relevant columns on the grid. There are no logic-designed links between the rows as is the case with freight rates.

Maintain Haulage rates

The inland haulage rates are specified as being  from a Port/Town to a Town (PHYSCODES/Ports definition)
The maintenance process is a simple pre-selection and then maintain the relevant columns on the grid. There are no logic-designed links between the rows as with the freight rates maintenance.

TRADE/Traffic and PROSCHED/Transport (S01 configuration ctrl30_transport=Alternative) will have procedures enabled that allow the user to select from the secured quotations to provide automated TRADE/Costs maintenance e.g. the freight has been fixed , container hire, inland haulage and needs to specify the Supplier and their agreed quotation.

RATECALC  can be used to display available quotes for Freight, Container Hire or Haulage for any matching Departure/Destination location. When all information has been entered, i.e. Type of quote Freight/Container/Haulage, Container Type,  Departure, Destination, clicking Ok will display any relevant quotes in the grid below.
